Although the filing season is over for 2003 W-2s, it's still a good idea to continue to ensure that the names and Social Security numbers you have for your employees match. Something as "minor" as a misspelled name or transposed numbers can cause big headaches for you and the employee but the problem can be easily prevented. The Social Security Administration (SSA) advises employers to verify all names and SSNs--ideally, by establishing a set verification schedule or procedure. Depending on the size of your payroll, or the rate of turnover at your company, you may want to verify names and SSNs at the time of hiring, weekly, monthly, quarterly--whatever is most efficient for your system and staff.
